4. Why we use personal information and our lawful bases
| Purpose | Typical lawful basis | What this means |

5. COSMO and research demonstrations
COSMO is currently presented as a research demonstrator using synthetic or representative maintenance data. Public demonstrations are not intended as a channel for live personal, confidential or safety-critical operational data. If a future pilot involves real client data or personal information, LINIR TEC will define the parties’ roles, permitted purposes, security measures, retention and any required data-processing terms before that processing begins.
6. Who we share information with
We only share personal information where necessary. Recipients may include providers that host or secure our website and systems, email and productivity providers, professional advisers, accountants, payment or banking providers, project collaborators where agreed, and public authorities where disclosure is required by law. We require service providers processing personal information for us to handle it appropriately and only for authorised purposes.
7. International transfers
Some technology providers may process information outside the UK. Where UK data-protection law requires safeguards for an international transfer, we will use an approved mechanism such as UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another lawful safeguard.
8. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting and security requirements. As a general guide, enquiries that do not progress are normally deleted or reviewed after 12 months; active client and contract records are normally kept for up to 6 years after the relationship ends; and technical/security logs are kept only for the period reasonably needed for security, fault investigation and provider operation. Our internal retention schedule is reviewed as our services develop.
9. Your rights
Depending on the circumstances, you may have rights to ask us for access to your personal information, correction, deletion, restriction, portability, or to object to particular uses. Where we rely on consent, you can withdraw it at any time. You also have an absolute right to object to direct marketing.
To exercise a right, email hello@linirtec.com. We may need to verify your identity before disclosing information.
10. Automated decisions
We do not use information collected through the public website or contact form to make solely automated decisions about individuals that produce legal or similarly significant effects.
11. Security
We use proportionate technical and organisational measures designed to protect personal information, including access controls, device and account security, appropriate backups, supplier controls and incident procedures. No internet service can be guaranteed completely secure, so please use an agreed secure transfer method for sensitive client material.
12. Children
Our website and services are business-facing and are not directed at children. We do not knowingly seek personal information from children through the public website.
13. Complaints
Please contact us first if you have a concern about how we use your information. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data-protection regulator. Visit ico.org.uk for current contact details and complaint information.

We may update this notice when our website, services, suppliers or legal obligations change. The latest version will be published on this page with an updated date.
